What you can do
See whose effort supports the engagement
A busy tax period can hide uneven workloads. Partner needs to know which people belong to the practice and how recorded hours compare with their normal weekly capacity. Engagement Manager needs the same context when deciding who can take another client assignment. Maintain the staff record before relying on an effort comparison.
Each team member has a practice organization, work email and professional role. The record also holds bill and cost rates, weekly capacity and an active indicator. Recorded service value and logged hours connect that staff context to the firm’s delivery review. Keep the period used for each comparison clear when discussing utilization.
How the work is organized
- Practice membership. Group people under the appropriate practice group, business unit or regional office. Keep the lead partner and practice focus understandable to managers reviewing work across organizational boundaries. An inactive staff record remains useful for understanding earlier delivery.
- Rates for review. Maintain bill and cost rates with the people responsible for engagement economics. Compare a service line’s rate with the team member’s rate when investigating a difference. Agree who may see cost information before opening margin analysis to the wider team.
- Weekly effort. Compare dated time entries with weekly capacity for the same working period. Billable and nonbillable hours explain different demands on the team. Use recorded effort to guide a staffing conversation and retain the underlying work dates when checking an unusual result.
What to agree during setup
Partner and Admin should review the practice structure, professional role labels and active staff list together. Confirm which work email identifies each person. Decide how authenticated users are matched to their staff records so that an individual’s time screen opens the correct work.
Agree the unit and operating currency used for rates and fees. Choose the weekly reporting window and how the team will interpret reduced capacity. Keep rate changes under an agreed review procedure, and rehearse how historical service costs are checked before changing a current staff rate. These decisions affect whether managers can explain a margin movement.
Check the handoff on an actual case
Use a tax preparer who works on an annual return and helps with a bookkeeping engagement during the same week. Staff Accountant records each period of work against its own client and engagement. Partner reviews the combined hours for that week against the person’s weekly capacity, then opens the engagement detail to understand the split.
Now include nonbillable preparation time. Check that it remains part of the effort discussion without being presented as a client charge. Ask Engagement Manager to identify which submitted entries still need review before using the hours to discuss delivery progress.
Finally, move the person to another practice in a rehearsal copy and inspect how the team’s reports group historical work. Agree the intended interpretation before changing live practice membership. A staffing conversation should be based on a known period and identifiable work, especially when managers share staff across practices.
