Document review and posting

Take a client document from preparation through an independent decision to balanced posting.

Step by step

  1. Prepare the document Accounting Preparer

Accounting Preparer records the client, organization and amount, chooses an owner and attaches supporting evidence. Keep the record number and current revision visible so the reviewer can identify the exact work being submitted. Move the draft into Review when it is ready for a decision.

    • Draft submitted for review
    • Updates Accounting documents, Business partners, Record attachments
  2. Authorize the revision Accounting Reviewer

Accounting Reviewer checks the amount and evidence independently, then records Approve, Reject or Return with a reason. Approval authorizes the reviewed revision. A return sends the document back for correction; changing its amount requires renewed review before execution.

    • Independent decision retained
    • Updates Accounting documents, Review decisions, Operation receipts
ApprovalA person approves before the work moves on.
  3. Check the accounting lines Accounting Preparer

Accounting Preparer checks the debit and credit lines and their account references. Compare the totals for the same document and verify the applicable accounting period. Resolve an imbalance through the agreed accounting setup before attempting the posting action.

    • Balance and account scope checked
    • Updates Document lines, Ledger accounts, Accounting documents
  4. Post the document Accounting Preparer

Accounting Preparer executes the eligible authorized action with its stable operation key. Retain the actual posting effect and receipt. Execution must use the current reviewed scope.

    • Actual posting effects retained
    • Updates Accounting documents, Document lines, Operation receipts
  5. Inspect the result Accounting Reviewer

Accounting Reviewer checks the saved posting effects against the reviewed revision before treating the posting as complete. Investigate a missing effect through the original operation receipt before requesting another attempt.

    • Posting effects checked against reviewed scope
    • Updates Accounting documents, Document lines, Operation receipts

Where it usually breaks

And how to keep it from happening.

  • A preparer tries to approve their own submission using a second administrative responsibility.
  • The amount changes after review but execution still carries the earlier approval.
  • Debit and credit totals are compared across different documents, hiding an imbalance.
  • A timeout prompts a fresh request before the original operation receipt has been inspected.
