What you can do

Find the evidence behind a financial decision

A finance question often starts after the action has finished. Controller may need to explain why a bill was approved. Treasury Analyst may need to show which release attempt failed. External Auditor may need the document that supported a tax amount. Each question has a different evidence trail, and the team needs to follow the right reference to answer it.

Review decisions record the reviewer, decision, subject and conditions. Operation receipts record the action type, actor, time and result. Attachments point to the relevant business record and retained file. Together they help the team reconstruct the work while keeping the business decision separate from the technical outcome of running an action.

How the work is organized

  • Decision history. Use Approved, Rejected and Returned to explain the review result. Keep the subject reference and conditions readable so the next operator knows what was decided.
  • Operation history. Inspect Succeeded, Failed, Partial and Skipped outcomes with the operation reference and details. A receipt should lead to an identifiable bill, invoice or payment action.
  • Supporting documents. Keep the parent record and file reference with the evidence. The file kind distinguishes a tax document, vendor invoice, statement or approval email for the reviewer.

What to agree during setup

Admin maps user identities to the finance team and agrees access with Controller. Finance responsibilities and approval limits belong in the team setup, while user access must enforce the intended actions and record scope. Rehearse the difference between a preparer opening a bill and a reviewer approving it. Use an External Auditor account to check the permitted evidence path without granting editing authority.

Agree how the team maintains file access when staff move roles or leave. A working attachment link for Admin does not establish that the intended reviewer can open it. Choose a document store and retention policy with the customer, then test access through the normal operator accounts. Keep original evidence when a corrected document is added so the decision can still be explained.

Check the handoff on an actual case

Controller approves a reviewed supplier bill. Open the bill’s decision record and verify the reviewer, decision date and conditions. Then inspect the bill approval operation receipt. Finally, open the vendor invoice that supported the amount. External Auditor should be able to follow the agreed chain without changing the bill or its decision.

Now rehearse a failed payment release on a different record. Treasury Analyst reads the failed receipt and checks the referenced payment before attempting another action. Keep the failure visible even when a later attempt succeeds. This allows the team to explain the sequence and compare it with bank evidence if a duplicate movement is suspected.

What your team sees

  • My review decisions — Read the decisions attributed to the current reviewer with their conditions and dates.
  • Purchase Bills Settled — Open paid bills and follow the approval decision and payment evidence.
  • GL Entry Review — Read journal balances and status before opening their supporting evidence.

Follow the work through

Rehearse bill capture to approval and payment release to reconciliation with ordinary staff accounts. Use roles and permissions to confirm the evidence each person needs.
