Invoice preparation to collection

Review the customer charge, send the draft and follow the outstanding balance.

Step by step

  1. Prepare the customer charge AR Specialist

AR Specialist selects the customer and organization, records the issue date and due date, and enters the revenue lines. Keep the invoice in Draft while checking the subtotal, recorded output tax and total against the commercial evidence.

    • Prepare a checked Draft invoice
    • Updates Customers, Tax invoices, Tax invoice lines, Ledger accounts
  2. Review the sending details AR Specialist

AR Specialist checks the customer reference, contact details and payment terms. Resolve a disputed amount or incorrect account coding before using the send action. Agree how the customer receives the document through the chosen delivery connection.

    • Confirm charge and delivery details
    • Updates Customers, Tax invoices, Record attachments
  3. Send the draft AR Specialist

AR Specialist invokes the invoice send action. It records the operation receipt and moves the invoice from Draft to Sent. Inspect the action result and follow the delivery procedure if the customer's copy needs attention. Retain the local action evidence alongside any external delivery confirmation.

    • Record the send action and Sent status
    • Updates Tax invoices, Operation receipts
  4. Match the receipt AR Specialist

Treasury Analyst identifies an inbound payment and links it to the correct invoice and customer. AR Specialist checks the amount received and remaining balance. A partial receipt leaves the invoice Partially Paid; a full supported settlement can move it to Paid.

    • Reconcile received and outstanding amounts
    • Updates Payments, Tax invoices
  5. Follow overdue balances AR Specialist

AR Specialist compares the due date with the remaining amount and follows Overdue invoices. Keep the customer discussion tied to the invoice number and payment evidence so that a payment query does not conceal a genuinely unpaid balance.

    • Explain collection work by due date
    • Updates Tax invoices, Customers

Where it usually breaks

And how to keep it from happening.

  • A send action receipt is mistaken for acknowledgement from the customer.
  • A payment is matched by customer name without checking the invoice reference.
  • A partial receipt clears the whole balance during manual follow-up.
