Set the terms before billing

BillingTerms defines the agreed due-date basis and any configured late-fee policy. InvoiceTemplates carries the document presentation and remit-to information for the relevant entity or division. The AR Manager reviews the defaults with the Controller before the team uses them. A change to today’s default should not silently rewrite a document already sent. Retain the terms and tax basis governing each invoice so the customer and finance team can explain its amount and due date.

Make recurring billing predictable

RecurringInvoiceSchedules connects a customer, frequency, start and end dates, next run date and frozen template lines. The scheduled occurrence generates a draft for the AR Clerk to review; it is not proof that a service was delivered or that the customer accepted an amount. Give each occurrence a stable identity so a retry cannot create another invoice. Honor pauses, end dates and active credit holds. Changing future template lines preserves invoices produced from previous versions.

Keep the customer view in scope

A Sales Rep needs the balances of their own accounts without unrestricted customer or accounting access. A Customer receives only their permitted invoice and payment context. AR staff maintain billing details through their assigned roles, while bank and payment fields keep their own restrictions. Configure those boundaries before inviting a customer or connecting CRM. Reconcile customer identity, open balances and pending schedules together during migration, then test a repeated import and an account-owner change before expanding the population.
