Prepare and validate a cycle

Assemble institutional evidence and hand the exact revision to independent review.

Step by step

  1. Select the standard Administrator

Administrator checks the institution's applicable accreditation standard, effective period and policy reference. Accreditation Management Operator selects that standard for the cycle and confirms the organization and owner. Resolve an ambiguous standard code before attaching evidence; a similar display name can conceal a different policy version.

    • Confirm the applicable policy context
    • Updates Accreditation standards, Organizations
  2. Prepare the cycle Accreditation Management Operator

Accreditation Management Operator records the cycle number, name and submission date in Draft. Use the date convention agreed by the institution and keep the cycle owner accountable for the preparation handoff. The selected cycle in Accreditation Cycles Workspace becomes the place to inspect its supporting evidence.

    • Establish the Draft cycle and owner
    • Updates Accreditation cycles, People
  3. Collect the evidence Accreditation Management Operator

Accreditation Management Operator adds criterion observations with their source record identifiers and dates, retaining quantities with units where relevant. Attach supporting documents to the cycle and record their verification checks under the responsible person. Resolve a document from the wrong reporting period before presenting it as support for the observation.

    • Assemble observations and verified supporting material
    • Updates Criterion evidence, Evidence documents
  4. Submit and validate Accreditation Management Operator

Accreditation Management Operator submits the prepared revision. Validation checks the cycle against its evidence, freezes the validated revision and routes it to an independent reviewer. Submission moves the cycle from Draft to Submitted; successful validation moves it from Submitted to Verified. This handoff prepares the review; the reviewer still has to make the decision.

    • Freeze the validated revision and request review
    • Updates Accreditation cycles, Review decisions, State history

Where it usually breaks

And how to keep it from happening.

  • A cycle points to a similarly named standard owned by another institution.
  • An observation's unit differs from the source extract's meaning.
  • A document describes an earlier reporting period, although its title looks correct.
  • Preparation is mistaken for permission to make the independent review decision.
