What you can do
Identify the farm before preparing credit
A farm can trade under a familiar name while its provider account uses a different legal identity. App Administrator establishes the borrower code, contact details and lending organization before Credit Officer prepares the application. The eligibility note gives the team a place to record the basis for including the borrower in its lending work. Keep that explanation specific enough for another officer to understand the case.
The account record carries the provider name, external account identifier and currency. Its owner points to the borrower. Before using an account for a loan instruction, Credit Officer checks that this ownership agrees with the application and that the account remains active. A matching display name alone is insufficient when several farms share a trading name or contact.
How the work is organized
- Borrower identity. Use a stable borrower code alongside the farm name and address. App Administrator maintains the organization connection and active state. Credit Officer reads the eligibility note before collecting application evidence and asks for a correction when the record refers to another farm.
- Account ownership. Keep the provider identifier attached to the account actually held for the borrower. Check currency before preparing debit and credit amounts. Provider account setup and balance access are connections to agree with the lender’s provider during implementation.
- Team responsibility. Link each team member to the correct user and organization. Credit Officer owns preparation within assigned scope. Independent Credit Approver needs a separate eligible identity; an administrator’s ability to maintain membership does not grant credit approval authority.
What to agree during setup
Choose the source of borrower codes and the person allowed to change contact or eligibility information. Decide how the team checks an inactive borrower or account before opening another application. Document how provider account identifiers arrive and who checks their ownership. Preserve those identifiers when the farm changes its display name.
Agree the organization’s time zone and currency conventions before importing dates and amounts. The lending records express monetary amounts in US dollars, while accounts can carry another currency. Review the conversion source with the provider before including such an account in the pilot. Use the data model to sequence the import and resolve references.
Check the handoff on an actual case
Use a rehearsal farm seeking funds for seasonal inputs. Give it an active borrower record and a provider account owned by that borrower. Ask Credit Officer to prepare the application using the linked account. Then present an otherwise similar account belonging to a different borrower. The officer should identify the ownership difference before the instruction reaches review.
Repeat with an inactive account and a renamed farm. The team should retain the stable borrower and provider references, explain the inactive account, and locate the original application without creating a duplicate farm. Have Auditor trace the organization through the borrower to the account.
