Request to dispatch

Check the requested movement and approve a vehicle commitment that fits.

Step by step

  1. Prepare the request Property Manager

Property Manager selects the customer and vehicle, records the passenger count and enters the planned start and end. Keep the trip Requested while these details are checked. Use the customer reference that Finance Officer will recognize during the later financial review.

    • Record Requested trip
    • Updates Parties, Trips, Vehicles
  2. Check the operating window Property Manager

Property Manager compares the requested interval with the vehicle's other work and checks capacity. Confirm that the planned end follows the start and that the time zone is understood. A changed passenger count or window requires the dispatcher to review the current request before deciding.

    • Review interval and capacity
    • Updates Trips, Vehicles
  3. Approve dispatch Property Manager

Property Manager acting as dispatcher approves the requested movement. The dispatch action checks the staff member's authority and the current request, then rechecks capacity and competing vehicle commitments before recording Confirmed. Repeating the same command returns the saved decision.

    • Requested to Confirmed after checks
    • Updates Trips, Vehicles, People, Users
ApprovalA person approves before the work moves on.
  4. Hand over the confirmed trip Front Desk Agent

Front Desk Agent opens the confirmed movement before preparing flight or service evidence. Property Manager checks that the visible vehicle and window reflect the approved request. An unsuccessful approval remains a planning issue to correct before the team begins the movement.

    • Read the accepted commitment
    • Updates Trips

Where it usually breaks

And how to keep it from happening.

  • Similar customer names lead the planner to select the wrong account.
  • The passenger count changes after the dispatcher checked the vehicle capacity.
  • Separate planners try to commit the same resource over overlapping windows.
  • A repeated submission is mistaken for a new request after a slow response.
