Charge review to settlement

Transport billing begins with a charge attached to a service stop. Received funds are recorded against the load. Clinical Coordinator and Admin review those records alongside the external billing and payment evidence so the financial discussion uses the correct source.

Step by step

  1. Prepare service charge Clinical Coordinator

Clinical Coordinator selects the stop, enters the service description and records the amount. Keep the charge Draft while checking the service and charging basis. A cancelled stop needs a deliberate review of any associated charge.

    • Describe and value the service in Draft
    • Updates Service charges, Load stops
  2. Approve charges Clinical Coordinator

Clinical Coordinator approves the service description and amount for the intended stop, moving Draft to Approved. Return unresolved questions to the preparation work before accepting the billing handoff.

    • Approve the charge for billing handoff
    • Updates Service charges, Load stops
ApprovalA person approves before the work moves on.
  3. Confirm billing handoff Clinical Coordinator

Clinical Coordinator records Invoiced after the agreed billing process confirms the handoff. Use Voided for a voided charge. The external billing system owns its invoice detail and the allocation of receipts to those invoices.

    • Record Invoiced or Voided from the agreed process
    • Updates Service charges
  4. Reconcile settlement Admin

Admin checks the load, reference, received date and amount against external receipt evidence. Move Pending to Confirmed when the receipt is confirmed. Clinical Coordinator reads the settlement while resolving the transport's billing questions.

    • Confirm the recorded receipt against its source
    • Updates Settlements, Loads
  5. Review corrections Clinical Coordinator or Admin

Clinical Coordinator examines voided charges and Admin checks externally confirmed refunds. Keep the original transport context understandable. Review Refunded settlements separately from Confirmed receipts when comparing financial activity.

    • Review voids and externally confirmed refunds
    • Updates Service charges, Settlements

Where it usually breaks

And how to keep it from happening.

  • A load-level receipt is presented as an allocation to a specific stop charge. Confirm invoice allocation in the billing system.
  • A repeated receipt reference is entered again. Find the existing receipt before recording another entry.
  • Financial totals combine unrelated monetary bases. Agree the basis and reporting cutoff during setup.
