Crew assignment changes

A crew change affects the assignment interval and the service stop that is about to happen. Clinical Governance Administrator maintains the assignment record; Clinical Coordinator handles the stop update. Rehearse their handoff together before using it across a working shift.

Step by step

  1. Identify the person Clinical Governance Administrator or Admin

Clinical Governance Administrator checks the team member's identity and active state. Admin checks the associated user account when access needs attention. Keep the same person identifiable when their local job title changes.

    • Resolve the person and account
    • Updates Team members, Users
  2. Review credential evidence Clinical Governance Administrator

Clinical Governance Administrator examines the credential type, license number, issuing authority and verification attachment. Compare eligibility dates with the intended work before changing Pending to Verified. Resolve a Suspended or Expired record with its owner before relying on it.

    • Review privilege evidence and eligibility
    • Updates Crew credentials, Team members
  3. Assign crew Clinical Governance Administrator or Clinical Coordinator

Clinical Governance Administrator records the load, driver, purpose and start and end dates of the assignment. The Active interval describes the responsibility being established. Clinical Coordinator checks that the planned stop names the intended crew member.

    • Updates Load assignments
  5. Check the replacement Clinical Governance Administrator or Clinical Coordinator

Clinical Governance Administrator records the incoming assignment after checking its evidence. Clinical Coordinator revisits the upcoming stop and confirms the crew change. Licensed Clinician checks the assignment context before continuing documentation for the new episode.

    • Establish the incoming assignment and check the upcoming stop
    • Updates Load assignments, Load stops, Crew credentials

Where it usually breaks

And how to keep it from happening.

  • The assignment changes while the upcoming stop still names the earlier crew member. Check both records during handoff.
  • A current credential state is read without its eligibility dates. Review the dates for the service period being arranged.
  • Earlier responsibility is overwritten. End the outgoing interval and preserve its connection to the load.
