Field evidence capture

Licensed Clinician records field evidence where the work occurred. Start from the intended service stop so sample processing and medical dispensations remain attributable when Clinical Reviewer examines the run later.

Step by step

  1. Identify the episode Licensed Clinician

Licensed Clinician checks the load stop and assigned crew before recording evidence. A return visit has its own stop even when it belongs to the same load. Use that distinction throughout the sample and dispensation handoff.

    • Establish the service context
    • Updates Load stops, Loads
  2. Record collection Licensed Clinician

Licensed Clinician identifies the sample type while it is Ordered. Record the collection date when the sample becomes Collected. Preserve the accession number used to match the sample with the receiving process.

    • Record sample identity and collection
    • Updates Samples, Load stops
  3. Follow processing Licensed Clinician

Licensed Clinician records Received and Tested from the corresponding source confirmation. Use Rejected when the sample is rejected. Laboratory results come from the laboratory's system through the agreed handoff or a connection configured during setup.

    • Update processing state from source evidence
    • Updates Samples
  4. Record a dispensation Licensed Clinician

Licensed Clinician records the medication and lot with the quantity and unit after the authorized event. Select the authorizing team member and the correct stop. The clinical team establishes the treatment decision under its own professional procedures.

    • Record medication, lot, quantity and authority
    • Updates Medical dispensations, Team members, Load stops
  5. Review the evidence Clinical Reviewer or Licensed Clinician

Clinical Reviewer reads the sample and dispensation records with the run documentation. Licensed Clinician resolves identity or transcription questions and creates assigned dispatch follow-up when the load needs further attention.

    • Resolve questions and assign follow-up
    • Updates Samples, Medical dispensations, Run notes, Dispatch tasks

Where it usually breaks

And how to keep it from happening.

  • A sample from the return visit is attached to the collection stop. Check the episode before updating its processing state.
  • A quantity is copied without its unit. Resolve the complete quantity with the person who recorded the event.
  • A Tested state is entered from an expectation. Wait for the evidence supplied by the receiving process.
