Intake to service review

Clinical Coordinator starts with a load that the crew can identify and carries that identity into each stop. The documentation handoff keeps the physical service event and its later review understandable to the next person.

Step by step

  1. Register load Clinical Coordinator

Clinical Coordinator records the transport number, subject, contact phone and accountable owner. Check for an existing load before entering a repeat request. The authorization state starts Pending while the relevant evidence is gathered.

    • Establish transport identity and owner
    • Updates Loads, Team members
  2. Check authorization Clinical Coordinator or Licensed Clinician

Clinical Coordinator or Licensed Clinician checks the purpose and version of the authorization, retaining its document and signing dates. Clinical Coordinator reviews the load's authorization state against that evidence before arranging the service episode.

    • Record signed evidence and reconcile authorization state
    • Updates Authorizations, Loads
  3. Record stop Clinical Coordinator

Clinical Coordinator selects the load and assigned crew, enters the planned window and records the actual arrival. Scheduled work moves to Arrived, then in progress as service begins. Record departure from the observed event.

    • Record planned service and observed progress
    • Updates Load stops, Loads, Team members
  4. Document run Licensed Clinician or Clinical Coordinator

Licensed Clinician records the note author and text, then signs the completed account. Record measured observations with their units and observed dates. Clinical Coordinator marks the stop awaiting review while the evidence is examined.

    • Retain attributed documentation and observations
    • Updates Run notes, Vital signs, Load stops
  5. Resolve review Clinical Reviewer or Licensed Clinician or Clinical Coordinator

Clinical Reviewer reads the clinical evidence and communicates questions to the responsible team. Licensed Clinician resolves documentation corrections; Clinical Coordinator updates the stop to Completed when the review is resolved. Keep any remaining dispatch task assigned until its own work is finished.

    • Resolve evidence questions and remaining follow-up
    • Updates Run notes, Load stops, Dispatch tasks

Where it usually breaks

And how to keep it from happening.

  • A similar subject name leads staff to the wrong load. Check the transport reference before creating the stop.
  • Departure is confused with completed review. Record the observed departure while keeping the review state accurate.
  • A reviewer is asked to edit operational records. Route the requested correction to the role responsible for that record.
