Systems to connect

  • External dispatch system. If transport requests or actual events arrive from another dispatch system, agree the transport identifier, facility mapping and event meanings before setting up the connection.
  • Fleet maintenance system. Use the external fleet identifier to agree how unit records relate to workshop information. Decide which system owns repair detail and how the fleet team records the relevant repair evidence here.
  • Driver authority source. Establish the external source used to check driver eligibility and keep its reference with the driver record. Assign responsibility for reviewing eligibility dates and recording the result.
  • Financial system. Agree the handling of recorded USD transport charges if the financial team needs an invoicing connection. Keep the transport reference available when a charge needs investigation.

How connections are governed

Name an owner for each connection and agree its record mapping before importing operating data. Preserve organization scope, driver and vehicle identity, and the meaning of planned versus actual dates. Rehearse changed and repeated source events before relying on them in a live operating cycle.

Keep an external reference only when it identifies a real source or outcome. Investigate a disputed operation result using its recorded action, revision and evidence. A release receipt is evidence about that release action; it is not a substitute for confirmation from an external dispatch or financial system.
