Completion and evidence

Record actual transport events and review the evidence behind completion or an unresolved exception.

Step by step

  1. Record pickup Dispatcher

The Dispatcher enters the confirmed pickup actual and the relevant stop arrival and departure dates. Move the transport from Dispatched to In Transit when that reflects the operating team's report.

    • Record pickup and stop actuals, then reflect In Transit progress
    • Updates Transports, Transport stops
  2. Record the receiving outcome Dispatcher

The Dispatcher records actual delivery and the relevant stop proof reference. Mark the transport Delivered when completion is confirmed and update the related assignment to Completed when its work has ended.

    • Record actual delivery, proof and the respective completion states
    • Updates Transports, Transport stops, Transport assignments
  3. Explain an exception Fleet Supervisor

The Fleet Supervisor investigates transports in Exception and operation receipts that are pending, have failed or need review. Compare each receipt with the action it describes and the readiness decision evidence; a unit-release result does not establish transport delivery.

    • Compare the recorded outcome with its supporting evidence
    • Updates Transports, Operation receipts, Review decisions, Crew readiness checks
  4. Review the retained history Auditor

The Auditor reads the actual event dates, readiness decision and supporting attachments within authorized scope. The Dispatcher and Fleet Supervisor resolve outstanding operating questions without replacing unknown actuals with guessed dates.

    • Read the operating history and identify unresolved evidence
    • Updates Record attachments, Transports, Transport stops, Review decisions

Where it usually breaks

And how to keep it from happening.

  • Actual dates are missing. Leave the gap visible for follow-up rather than entering an assumed delivery event.
  • Different completion states are combined. Distinguish completed readiness work, a completed assignment and a Delivered transport.
  • An attachment's visibility is chosen casually. Apply the agreed Internal or Shared handling and verify who can inspect the file.
