Transport planning and dispatch

Prepare the destination and stop plan, review unit release and record the intended driver assignment.

Step by step

  1. Prepare the transport Dispatcher

The Dispatcher selects the operating organization and receiving facility, assigns the responsible owner and records the promised delivery date. Add the pickup and receiving-facility stops with their intended sequence and windows, then move the checked plan from Draft to Planned.

    • Establish the destination, operating owner and planned windows
    • Updates Transports, Transport stops, Receiving facilities
  2. Review the supporting readiness Dispatcher

The Dispatcher checks the driver eligibility record and vehicle condition. The Crew Lead and Fleet Supervisor complete the separate readiness and unit release process for the unit linked to this transport.

    • Inspect eligibility and the independent unit-release evidence
    • Updates Drivers, Vehicles, Crew readiness checks, Review decisions
  3. Confirm the assignment Dispatcher

The Dispatcher records the named driver, vehicle and start and end dates. Inspect other intervals for both resources and resolve conflicts through the team's allocation procedure before moving the assignment from Held to Confirmed.

    • Record the intended interval and move Held to Confirmed after review
    • Updates Transport assignments, Drivers, Vehicles
  4. Record dispatch Dispatcher

When the operating team confirms dispatch, the Dispatcher updates the assignment to Dispatched and the transport from Planned to Dispatched. Review both records when an assignment changes, since each describes a different part of the work.

    • Record Dispatched on each affected operating record
    • Updates Transport assignments, Transports

Where it usually breaks

And how to keep it from happening.

  • The facility name is ambiguous. Check the facility code and owning organization before relying on a familiar display name.
  • The same unit appears in overlapping assignments. Inspect start and end intervals and resolve the allocation before confirmation.
  • A state is updated on only one record. Check assignment and transport progress separately when dispatch or cancellation changes the plan.
