How the model is organised

Master data

Entities, Currencies, exchange rates, chart of accounts, accounting periods, tax jurisdictions, tax codes, payment terms, bank accounts and cost centers establish the financial boundaries. Accounts, contact persons, Products, price books and price book entries govern commercial data. Enterprise policies and product posting profiles hold the applicable rules and account mappings.

Sales

Leads, Opportunities and Activities track development of an account. Quotes, Contracts, sales orders, Shipments and Invoices retain their quote items, contract items, sales order items, shipment items and invoice items. Document revisions, signature requests, contract cycles, sales allocations and credit exposures preserve the accepted offer, source quantities, billing route and reserved credit exposure.

Supply and stock

Requisitions, purchase orders, goods receipts and Bills keep their requisition items, purchase order items, goods receipt items and bill items. Warehouses, Inventory and stock movements identify locations, stock positions and posted movement. Receipt acceptances, service acceptances and bill match allocations distinguish goods acceptance from service approval and cumulative billing. Stock events, stock layers, inventory reservations, inventory counts and inventory count lines preserve eligibility, value, ownership and quantity; vendor returns and customer returns retain their origins.

Production

BOMs and BOM components, Routings and routing operations, work centers and MRP runs support planning. Planned orders and work orders connect demand with released work order components and work order operations. Production log, production completions, work order cost entries and quality inspections distinguish operation progress from accepted finished output and its cost.

Settlement

Payments received and payment applications track receipts and invoice settlement. Payment runs, payments made and payment allocations track outgoing payment work. Credit applications, Refunds, payment instructions, bank statement lines, integration events and integration deliveries retain credits, cash movement, provider outcomes and reconciliation without treating every acknowledgement as settlement.

Finance

Journal entries and journal entry lines carry posted amounts. Budgets and budget lines, fixed assets, asset categories, asset books, asset events, depreciation runs and depreciation run lines retain planning and asset policies. Revaluation runs and revaluation lines, allocation runs and allocation lines, consolidation runs and consolidation run lines, consolidation entities and consolidation adjustments retain reproducible calculations. Tax filings, close tasks, close templates and close dependencies support review and close.

People

Employees, Departments and Positions establish employment context. Pay components, employee pay components and compensation history retain effective pay settings. Work calendars, work calendar days, holiday calendars, leave types, leave balances, leave requests, leave entries, Timesheets and timesheet lines support scheduled and approved time. Payroll runs, pay statements, pay statement lines, payroll allocations and payroll opening balances distinguish operational payroll from migration history.

Governance and migration

Approvals records the decision and actual signer against an immutable document revisions entry. Authority delegations scopes represented authority; master changes govern reviewed sensitive changes. Migration batches and migration items retain source identity, cutoff, digests, mappings and reconciled nonposting baselines.

Amount per account, cost centre and period within a budget version.

Linked to Budgets, Chart of accounts, Cost centers, Accounting periods

Payables and receivables

14 tablesAbout this feature

Linked to Tax jurisdictions, Chart of accounts (tax payable or receivable), Document revisions
  • Payment terms

One list of terms shared by customers, vendors, invoices and bills, so the due date and the early-payment discount are computed the same way on both sides.

  • Accounts

Customer and vendor companies. A counterparty on both sides is one record with Type Both, with terms kept separately for each direction. A group entity that trades with this one is marked intercompany.

Linked to Entities (primary billing entity), Entities (set when the counterparty is a group entity), Employees (sales owner for customers), Payment terms (as a customer)
  • Contact persons

The people at an account: the buyer, the decision maker, the accounts-payable clerk, the engineer. Calls are logged against a person, quotes are addressed to one, and a lead converts into one.

Immutable submitted, accepted, approved or posted snapshot; lifecycle changes cannot alter its content or human authority.

Linked to Entities, Employees, Enterprise policies
  • Authority delegations

Approved limited delegation preserves the actual actor, grantor and role scope; absence alone grants no authority.

  • Integration events

Authenticated inbound event or evidenced manual source; duplicate/late events cannot repeat financial or stock effects.

    Linked to Entities, Migration batches
  • Integration deliveries

Durable outbound intent per destination and immutable source revision; transport success never proves the downstream business action.

    Linked to Entities, Document revisions
  • Migration batches

Approved cutover manifest and nonposting import policy preserve history and suppress operational replays.

Linked to Entities, Journal entries, Employees
  • Migration items

Replay-safe source-to-target mapping and retained partial balances for each imported record.

    Linked to Migration batches

Keys and references

Record identifiers remain stable when a display number changes. Line records carry their parent’s identity; entity, currency and access boundaries can be inherited through that parent where the specification defines it. A source document reference alone is insufficient for partial processing: allocations retain the exact source line, quantity and amount already consumed and the eligible remainder.

Distinguish document currency, payment currency and functional currency. Saved rates, comparison amounts and carrying values explain approval and settlement; a current exchange rate must not rewrite an earlier decision. Document revisions, posting identities and integration event keys make retries distinguishable from new work. Polymorphic source references require a permitted type and a validated record, rather than an unchecked identifier.

Accepted stock has receipt, verified direct-delivery or production provenance and a cost layer. Principal drop-shipping retains title-transfer and customer-delivery evidence through its designated transit ownership location without claiming physical warehouse custody. For warehouse-held stock, each reservation belongs to the demand that consumes it. Posted journal entries retain their source event and immutable balanced lines; corrections use linked reversals or adjustments with an explicit posting date. A nonposting migration baseline or Parallel payroll comparison cannot acquire these operational effects merely because it resembles a live record.

Migration order

  1. Establish migration batches, source identifiers, cutoff dates and file digests. Import dependencies in a first pass, then resolve cross-references and validate exceptions before activating records.
  2. Load Currencies before Entities, then chart of accounts and accounting periods. Resolve entity relationships and load exchange rates, tax settings, account mappings and bank accounts after their dependencies exist.
  3. Load cost centres, departments, calendars and positions, then employees with restricted access and reviewed authority. Load effective compensation and component elections without exposing pay or bank details to ordinary migration users.
  4. Load customer and vendor identities, contact mappings, warehouses, work centres and products. Add price-book entries, bills of material and routings after their referenced masters exist.
  5. Reconcile opening ledger balances with accepted stock layers, work in progress, assets, open receivables and payables, unapplied cash and outstanding credits. Keep the opening detail and its ledger entry as one reconciled position; do not trigger receipt, expense, depreciation or payroll postings again.
  6. Import open commercial documents with accepted revisions, source allocations and partial receipt, shipment, billing, payment and reservation history. Only the remaining quantity or obligation becomes eligible for future work. Resolve contract-cycle identities so migrated orders and direct invoices cannot repeat a cycle.
  7. Load leave reservations and balances, approved time consumption history and payroll opening balances at the cutoff. Retain prior payroll and asset history as nonposting migration evidence.
