Ledger and close
Bring the accounting consequences of sales, purchases, production and payroll into a close the finance team can explain. Ledger and close retains the source of each posting and the reviewed basis for adjustments, asset values and consolidated reporting.

What you can do
Explain seasonal stock and production cost
Use product and order context to investigate remaining stock and production variance. Carrying value follows the inherited accounting source, including accepted material use and actual finished output. A season change or commercial markdown label does not itself post a write-down or create a new cost layer.
Post to the right account and period
The shared chart supports entity accounts, cost centres and partner-tagged intercompany lines. Explicit posting mappings identify revenue, inventory, WIP, accrual, tax, payroll and variance accounts. Control balances accept only their authorized subledger or approved opening-baseline sources.
A journal names the entity, document and posting dates, period, source and preparer. Its lines use valid nonnegative debit or credit amounts and balance in the entity’s functional currency under the captured rounding policy. Foreign amounts retain their currency and rate evidence.
Manual adjustments follow the permitted preparation and approval path. A limit alone does not allow a Finance Clerk to post a journal or an Admin to close a period. Posted entries remain immutable; corrections append an authorized linked reversal or replacement with its own valid posting date.
Close from evidence and dependencies
| Close step | What is reviewed |
|---|---|
| Subledger cutoff | Remaining invoices, bills, stock effects, asset and payroll obligations |
| Reconciliation | Bank, open items, inventory, WIP, payroll liabilities and partner balances |
| Adjustment | Accruals, prepayments, allocations and documented corrections |
| Valuation | Asset-book charges and foreign-currency closing values |
| Sign-off | Completed dependencies, required evidence and unresolved exceptions |
Opening a period creates tasks from the captured checklist version. Each task retains its owner, dependency, due date and supporting evidence. An editable completed-task count does not establish readiness by itself.
Soft close limits postings to authorized adjustment scope while preserving the normal-subledger cutoff. Controller authorizes hard close after the required checks. A late document retains its original date and uses an explicitly chosen permitted posting period; it does not silently reopen the old ledger.
Compare actuals with an approved budget
Budgets hold entity, fiscal year, account, cost centre and period amounts by version. An independent Controller provides the declared approval authority, and the selected approved version is locked for reporting. Preparation, approval and locking retain their actual actors rather than relying on an undeclared executive title.
Profit and Loss by Entity identifies the budget or forecast version used and its currency basis. A later forecast does not rewrite a prior comparison. Budget entry and approval remain subject to the assigned scope and evidence.
Keep asset books separate
An accepted capital purchase creates the asset basis through its approved bill coding. Opening assets use a reconciled migration baseline rather than a fabricated current acquisition. Asset categories supply the required account mappings and default method; the asset book retains the actual depreciation inputs.
Book and tax depreciation use separate schedules and balances. A tax run does not add another charge to the financial-book accumulated depreciation. Units-of-production and declining methods retain their quantities, rates and convention inputs rather than relying on a method name alone.
Impairment, transfer and disposal have their own reviewed asset movements and carrying-value effects. Depreciation lines preserve beginning value, charge and resulting book basis, so a later master edit cannot change the meaning of a posted run.
Revalue and settle with consistent carrying amounts
Revaluation identifies the eligible open foreign-currency balances, their existing carrying values and the closing rate. The posting records the change in functional value with item-level evidence. Linked reversal or replacement rules prevent a rerun from adding the same unrealized movement twice.
Settlement adds only the exchange difference from current carrying value. Prior unrealized gains or losses move to realized through an offsetting reclassification, without another net gain. Bank disposal remains separate from invoice settlement; payment currency stays distinct from document currency.
Review tax before filing or payment
Tax filings retain jurisdiction and reporting scope separately from the posting and payment periods. Additive tax, withholding, recoverable input tax and non-recoverable cost follow their configured treatment. Employer payroll taxes remain separate from pension and other employer contributions.
The filing uses finalized source tax and its configured or external-authority evidence. Controller reviews the return and records actual filing confirmation. Payment is a separate settlement event; preparing a filing or bank request does not establish that the liability was paid.
Reproduce the consolidated pack
Consolidation maps the reporting period to each included entity’s actual source periods and locked posting revisions. Ownership, method and rates are captured as of the reporting basis. Different local calendars do not reuse one entity’s period identifier as if it were the group’s calendar.
Full, Proportional and Equity methods retain their distinct treatment. Account-specific translation, partner-level eliminations, investment and noncontrolling-interest workings explain the result. Controller reviews and locks the pack; any later correction produces a linked new run while the originally issued pack remains reproducible.
Trial Balance, Balance Sheet, Cash Flow Statement and the supporting subledger reports use stated populations and currencies. Cash Forecast counts each obligation once as it moves from a bill into an authorized payment instruction.
What it keeps track of
Data model- Chart of accounts
- The account master, shared across entities, with a self-parenting tree for summary accounts, control flags for subledger accounts and an intercompany flag for elimination.
- Accounting periods
- Fiscal periods per entity with the open and close state the close checklist drives.
- Close tasks
- The close checklist per entity and period: each task with its owner, its dependency, its due date and the evidence attached when it is done.
- Journal entries
- Balanced immutable general ledger entries from validated eligible subledger effects or approved manual adjustments; drafts and transport events do not post automatically.
- Journal entry lines
- Debits and credits by account, cost centre and tax code, with the foreign amount when the entry is not in functional currency and the partner entity when the line is intercompany.
- Budgets
- Budget or forecast version per entity and fiscal year, approved by an independent Controller and locked as an immutable reporting version.
- Budget lines
- Amount per account, cost centre and period within a budget version.
- Asset categories
- Asset classes with the three accounts each posts to and the default method and life, so a depreciation run builds its journal from the category.
- Fixed assets
- The asset register: capitalised from bill lines, depreciated monthly by category, transferred, impaired and disposed.
- Depreciation runs
- Monthly depreciation batch per entity, period and book, posted as one journal grouped by asset category with a line per asset behind it.
- Depreciation run lines
- The charge per asset in a run, with accumulated depreciation and net book value after it, which is what the register and the auditor read.
- Revaluation runs
- Current-carrying monetary revaluation with item-level delta workings and immutable correction/rerun evidence. The baseline does not automatically reverse the prior month and recognise it twice.
- Consolidation runs
- A reporting-period pack with entity-specific closed-period snapshots, effective ownership/method, account-specific translation and reviewed balanced eliminations.
- Consolidation run lines
- One line per entity and account in the run: the local balance, the translated balance, the elimination applied and the consolidated result, so the pack can be traced back.
- Tax filings
- Returns to an authority for a period: sales, use, VAT, GST, withholding and payroll tax.
- Asset books
- Separate effective Book/Tax asset balances and depreciation parameters; only designated Book balances project to fixed assets.
- Asset events
- Reviewed capitalisation, impairment, disposal and transfer preserve book-specific opening, movement and closing evidence.
- Revaluation lines
- Item-level monetary delta from current carrying amount, including bank, unapplied cash and other reconciled monetary balances, with traceable settlement release.
- Close templates
- Approved versioned close checklist policy with task owners, dependencies and required evidence.
- Close dependencies
- Every dependency of a period task, not just the retained single depends on summary field.
- Allocation runs
- Reviewed cost-centre/account allocations retain balanced source and driver workings and a unique posting.
- Allocation lines
- Driver and currency amounts for each allocation destination with exact remainder reconciliation.
- Consolidation entities
- Run-specific ownership/method, local-period and closed-ledger snapshot per included entity.
- Consolidation adjustments
- Balanced group adjustment/elimination details retain partner agreement, method and signed line evidence.
