Evidence to decision

Check the supporting material and record the eligible approver decision.

Step by step

  1. Verify evidence Evidence Reviewer

Evidence Reviewer inspects the attachment and its external reference against the request. Record the verification result and verifier. A quotation should support the amount being reviewed; refer any discrepancy to Request Owner before relying on it.

    • Record verification and verifier
    • Updates Evidence documents, Approval requests
  2. Review the revision Evidence Reviewer

Evidence Reviewer records an independent outcome against the exact request revision with a reason and evidence reference. An approval moves that review from Pending to Approved. Returned and Rejected remain distinct outcomes for the reviewer to explain.

    • Record a revision-specific review outcome
    • Updates Review decisions, Approval requests
ApprovalA person approves before the work moves on.
  3. Approve request Approver

Approver inspects the current ordered step, route version and review context. The eligible person approves the selected request through the decision-chain workflow. It writes the decision entry and operation trace, appends state history, advances the step order and marks the request Approved with its completion time.

    • Record the decision and Approved request state
    • Updates Approval decisions, Approval requests, Operation runs, Operation steps, State history
ApprovalA person approves before the work moves on.
  4. Inspect the decision trail Approval Coordinator

Approval Coordinator opens the recorded decision and state transition with the parent request. Confirm the outcome, source context and completed revision before handing execution review to Execution Operator. A review outcome and the request approval should each remain understandable in their own records.

    • Confirm the decision context for handoff
    • Updates Approval decisions, State history, Approval requests

Where it usually breaks

And how to keep it from happening.

  • A verified document belongs to the request but covers an earlier amount. Check the business context before using it in the decision.
  • An independent review refers to an earlier revision. Evidence Reviewer must identify the applicable review for the changed request.
  • The coordinator sees an Approved request but cannot explain the ordered decision that produced it. Inspect the decision entry and workflow trace together.
