How a Architecture Firm Management rollout works
Pilot an accepted design fee through review, posting and cash reconciliation.
Agree the billing boundary
Practice Principal selects the design stage and acceptance evidence used in the pilot. Finance Manager agrees the fee basis, USD amounts and accounting source of truth. Identify the CAD workspace and any bank or accounting connections to set up.
Prepare identities and opening records
Admin maps staff users and practice organizations. Billing Coordinator checks partner codes, contact details and document ownership. Finance Manager supplies the chart of accounts and period calendar.
Configure the decision path
Agree milestone approval, document review and the journal reviewer arrangement. Define how a revised drawing issue or fee returns to review and how attachment visibility is applied.
Rehearse the fee cycle
Submit an accepted drawing milestone, prepare its invoice and review the current revision. Post a balanced journal in an Open period, then apply a partial verified receipt and explain the remaining amount.
Check exceptions and release
Repeat with changed acceptance evidence, a returned invoice, an unbalanced journal and a duplicate receipt event. Compare source balances and confirm access using ordinary staff accounts before the pilot team starts live work.
What the customer provides
- An accepted drawing issue, its acceptance correspondence and the agreed milestone fee.
- Client codes, billing contacts, document numbers and open invoices.
- Staff responsibilities, organization scope and the approval policy.
- Ledger accounts, period boundaries, opening journal balances and receipt evidence.
Keep an export of the opening source records and agree how to stop or reverse an incorrect import. Use the data model to resolve references before bringing in open work.
Changing it afterwards
Use Proto to prepare the change and review it with the affected decision owner. Replay the changed drawing and partial-payment cases when editing billing rules. Recheck access and financial totals after changes to references, permissions or imports. Retain earlier review decisions and source evidence so the first operating cycle remains explainable.
