Design acceptance to billing

Turn an accepted drawing issue into a reviewed billing milestone and document handoff.

Step by step

  1. Prepare milestone Billing Coordinator and Project Architect

Billing Coordinator creates the Draft client document and checks its organization, client and owner. Project Architect identifies the project, drawing revision and fee on a Draft milestone. Link it to that document and attach the acceptance evidence there. Record the accepted date, check that the file names the same drawing issue, and move the milestone to Submitted when the package is ready for review.

    • Draft parent document supports a Submitted milestone with acceptance evidence
    • Updates Design billing milestones, Accounting documents, Record attachments
  2. Approve milestone Practice Principal

Practice Principal reviews the submitted fee and accepted design evidence. Approve the milestone when the evidence supports that revision, or mark it Rejected when the charge needs resolution. Record the decision date and retain the supporting material so Billing Coordinator can understand the basis of the decision.

    • Submitted milestone becomes Approved or Rejected
    • Updates Design billing milestones, Record attachments
ApprovalA person approves before the work moves on.
  3. Prepare fee document Billing Coordinator

Billing Coordinator prepares the document lines from the approved milestone. Use a line description that identifies the accepted design stage and compare the fee with the approved amount. Move the document from Draft to Review for Finance Manager. Mark the milestone Completed when its billing handoff has a confirmed document and line result.

    • Fee document reaches Review and successful billing completes the milestone
    • Updates Accounting documents, Document lines, Design billing milestones

Where it usually breaks

And how to keep it from happening.

  • The accepted drawing issue differs from the issue named on the milestone.
  • A changed fee reaches billing with an earlier approval still being used.
  • The milestone is marked Completed before anyone checks the resulting document lines.
