Journal review to posting

Review balanced journal lines and the open period before recording a posting outcome.

Step by step

  1. Prepare journal Finance Manager

Finance Manager creates the Draft journal from the approved document. Select the period and posting date, then link each debit and credit line to its ledger account. Compare the totals and retain enough source-line context to trace the financial movement back to the fee.

    • Draft journal retains its source document
    • Updates Journal entries, Journal lines, Ledger accounts, Accounting documents
  2. Approve the journal Finance Manager

Finance Manager reviews the account treatment, balance and period under the practice's agreed reviewer policy. Confirm that the posting date falls within the selected Open period before the journal moves from Draft to Approved. Resolve an imbalance or unsuitable period before making the decision.

    • Balanced eligible journal becomes Approved
    • Updates Journal entries, Accounting periods
ApprovalA person approves before the work moves on.
  3. Post journal Finance Manager

Run the posting handoff for the approved work and check the resulting journal and document. Record the posting time when they reach Posted. If the outcome is uncertain, examine the existing operation and its effects before retrying; a request that was sent is still something to reconcile.

    • Confirmed posting records Posted and its outcome
    • Updates Journal entries, Accounting documents, Operation receipts
  4. Reconcile period Finance Manager

Finance Manager compares posted sources and ledger totals and investigates unresolved operations. Move the period from Open to Review while checking the closing position. Finance Manager approves closure, records the closure date and moves it to Closed when the agreed reconciliation is complete.

    • Reviewed period becomes Closed
    • Updates Accounting periods, Journal lines, Cash applications, Operation receipts
ApprovalA person approves before the work moves on.

Where it usually breaks

And how to keep it from happening.

  • Debit and credit totals differ after a line is changed.
  • A posting date belongs outside the selected period.
  • A repeated request creates confusion because the earlier outcome was never reconciled.
