Settlement operations teams
A settlement team receives provider confirmations, statements and movements after approved banking instructions. Its daily question is which effects are confirmed, which remain pending and which account movements do not reconcile. The organization chooses which people can prepare, decide and inspect each record. The provider remains the source of its confirmations and account authority.
How ATM Management System is set up for you
Source movement
Preserve each provider event ID, amount, occurrence date and financial account.
Exact match
Link a movement only to confirmed work on that account with the same amount and date.
Balance check
Compare opening and closing provider snapshots with signed confirmed movements.
Exception review
Leave unmatched movements and uncertain operation receipts available for investigation.
Start with a day of provider snapshots and source-identified movements. Check exact amount, occurrence date and account for every match. Include a rejected or returned decision, a pending provider response and a movement exception. The team should be able to identify the affected instruction from its record number and provider reference, then show the decision and the evidence used to close it.
Agree organization and provider identifiers before importing live records. Keep account codes and external account IDs aligned with the provider. An application for a new account needs its own decision and evidence trail; approval inside the organization precedes completion by the provider. Use the [implementation guide](/atm-management-system/implementation) to assign these handoffs and the [reconciliation process](/atm-management-system/processes/settlement-reconciliation) to check the first operating cycle.

Match provider movements and balance snapshots to confirmed instructions.
Roles on the team
- Auditor
- Read authorized evidence and reports in a scoped, read-only audit view. No record writes and no action execution.
- App Administrator
- Maintain organization configuration and membership. Administrative membership does not confer approval, financial or execution authority and cannot grant an independent reviewer entitlement.
- Maintenance Preparer
- Prepare assigned operational records and execute eligible reviewed actions. Own organization and draft scope only; accepted, posted and provider evidence is read-only; guarded workflows authorize every transition.
- Independent Maintenance Approver
- Review eligible work order revisions independently and reconcile operational evidence. Approve or reject through guarded actions only; no unrestricted editing of protected or executed records; a reviewer cannot approve their own submission.
- Operations Analyst
- Investigates provider movement discrepancies and checks whether recorded operations had their claimed effects.
