Systems to connect
- Invoicing and accounting. Set up a connection to the clinic’s financial system for invoice issue and settlement matching. Agree how an approved encounter charge reaches that system and how staff confirm issue before recording Invoiced.
- Payment source. Configure payment entry or an import from the source the clinic uses to confirm money received. Retain a recognizable reference and have the responsible person check confirmation and refund evidence.
- Herbal inventory. Connect the dispensary’s stock system when stock reconciliation is required. Match preparation names, batch identifiers and units, and agree which system owns the available stock quantity.
- Assessment services. Connect the service that supplies assessment results when the clinic uses one. Agree how its accession identifiers relate to the encounter and who reviews the clinical information received.
How connections are governed
Choose a named owner for each connection and write down the fields being exchanged before enabling it. Agree the source identifier used to recognize a repeated delivery, how corrections are handled and where rejected or uncertain results are investigated. Grant access according to the clinic’s patient information policy.
Rehearse a repeated payment event and an invoice request whose result is uncertain. Reconcile the original source reference before entering a fresh record. Check a batch identifier with leading zeros and an assessment returned for the wrong encounter. Each receiving owner should explain how they resolve the exception before routine imports begin.
Provider access, credentials and field mappings are part of setup. Use the implementation plan to agree the acceptance case for each connection the clinic chooses.
