Keys and references

Use stable source identifiers for all imported references. Id appears on the care records; exchange rates uses ID. Patient number identifies a patient for staff review. Confirm uniqueness rules during import rather than assuming a display name or accession number resolves every source conflict.

Resolve People.User to the correct Users record before assigning clinical authorship. Resolve each encounter before importing its notes, observations, charges, specimens or dispensations. Receipt matching to an invoice belongs to the agreed external billing process. Agree a consistent currency convention for Charges.Amount and Payments.Amount before importing or totaling monetary values.

Migration order

  1. Resolve Users identities, including the User reference, and load People with the correct User mapping.
  2. Load Patients with assigned clinician, then Consents, clinical privileges and care team assignments.
  3. Load Encounters with Patient and Clinician and the actual scheduled, start and end dates.
  4. Load clinical notes, Observations, Specimens, pharmacy dispensations and Charges against their Encounter references.
  5. Load care tasks and Payments against Patients, resolve staff references and reconcile source totals. Review exchange rates as read-only reference data.
  6. Rehearse ordinary role access and correct unresolved references before releasing the imported records.
