Counter sales and receipts

Post authorized counter charges and reconcile the separate payment evidence against the order.

Step by step

  1. Prepare the counter charge Finance Officer

Finance Officer selects the order and records the outlet, charge date and amount in Draft. Check the sale evidence before posting, including whether an order item already represents the same purchase. A familiar customer name alone is not enough to choose the source order.

    • Create a Draft charge against the intended order
    • Updates Counter sales, Orders, Order items
  2. Post the authorized sale Finance Officer

Finance Officer submits the permitted counter-sale action. The workflow checks the actor, linked order and existing evidence before moving the charge to Posted. A correction to a posted charge follows the authorized Voided path so the original entry remains understandable in the order history.

    • Apply the permitted Posted or Voided outcome
    • Updates Counter sales, Orders
  3. Check the payment source Finance Officer

Finance Officer matches the payment reference and amount to the actual receipt. Pending moves to Confirmed only from confirmed payment evidence. A Refunded entry must be read with its source outcome; a posted sale does not establish that money has been received or returned.

    • Reconcile the payment reference and actual status
    • Updates Payments, Orders
  4. Prepare the completion comparison Finance Officer or Operations Reviewer

Finance Officer presents the posted charges and confirmed receipts with shared source charges resolved. Operations Reviewer examines the comparison during the later completion decision. Keep drafts, voids and pending receipts visible as separate categories so the reviewer can explain the remaining obligation.

    • Assemble charge and receipt evidence for review
    • Updates Counter sales, Order items, Payments, Orders

Where it usually breaks

And how to keep it from happening.

  • The same charge appears in both the counter sale and the priced order items and is counted twice.
  • A posted sale is treated as proof of a confirmed payment.
  • A wrong amount is overwritten instead of following the permitted correction path.
  • A receipt reference is matched to another order from the same customer.
