Order confirmation and production

Turn a customer request into a checked equipment commitment and an authorized production start.

Step by step

  1. Capture order Property Manager

Property Manager records the customer, equipment, requested dates, quantity and unit price. The order begins Requested. Front Desk Agent checks the customer's intended commitment before submitting confirmation, especially when another order has a similar customer name or collection date.

    • Create the Requested commitment
    • Updates Customers, Orders, Equipment
  2. Confirm order Front Desk Agent

Front Desk Agent submits the permitted action using their linked staff identity. The workflow validates the source order and current revision, checks the interval and quantity against equipment capacity, locks the equipment and rechecks overlapping dates. A valid request becomes Confirmed; an unresolved conflict leaves it waiting for correction.

    • Check capacity and move Requested to Confirmed
    • Updates Orders, Equipment, People, Users
  3. Start production Front Desk Agent

Front Desk Agent submits the start action for the confirmed order. The order moves to In Production and the equipment becomes In Use. Actual start evidence is recorded with the action. A later financial confirmation still requires the payment source.

    • Move to In Production and In Use; prepare linked work
    • Updates Orders, Equipment, Order items, Production tasks
  4. Prepare assigned work Property Manager or Front Desk Agent or Finance Officer

Property Manager or Front Desk Agent assigns the resulting Open tasks to staff. Finance Officer reviews Draft order items for authorized posting. The linked task and charge records give the next shift the context needed to continue the order without recreating its intake.

    • Assign tasks and review Draft charges
    • Updates Production tasks, People, Order items

Where it usually breaks

And how to keep it from happening.

  • The requested quantity uses a different unit from the equipment capacity.
  • Staff confirm an interval without resolving another commitment to the same equipment.
  • An action is retried with changed details under the same request identity.
  • A person can read the order but has not been authorized to execute the workflow action.
