Special-order handoff

Prepare pickup or delivery details and review them against the correct customer order.

Step by step

  1. Check the customer commitment Front Desk Agent or Property Manager

Front Desk Agent opens the selected order and checks the customer, due date and quantity. Property Manager resolves any change to the underlying order before staff promise a different arrangement. Use the order number to distinguish repeat purchases from the same customer.

    • Identify the intended customer order
    • Updates Orders, Customers
  2. Capture the arrangement Front Desk Agent

Front Desk Agent records Pickup or Delivery with the outlet name, scheduled date and quantity against the order. The permitted action validates the actor and linked source before saving the request. Staff should be able to explain the outlet name consistently at either end of the handoff.

    • Save the linked Pickup or Delivery request
    • Updates Special orders, Orders
  3. Review the evidence Operations Reviewer

Operations Reviewer examines the attributed request against the linked order. A wrong order link or unclear quantity goes back for correction. The reviewer needs the actual arrangement and customer context to assess the request; opening a detail screen alone does not resolve an inconsistency.

    • Examine attributed request evidence
    • Updates Special orders, Orders
  4. Check the shared handoff Front Desk Agent or Property Manager

Front Desk Agent returns to the order detail and special-order screen after the save. Property Manager checks any effect on the customer commitment. The daily review uses the arrangement's date and outlet together with the order's current production state.

    • Verify the saved arrangement and order context
    • Updates Special orders, Orders

Where it usually breaks

And how to keep it from happening.

  • A new arrangement is attached to an older order for the same customer.
  • Outlet names differ between shifts and make the destination unclear.
  • The special-order quantity is discussed without checking the order commitment.
  • The counter promises a new date before Property Manager checks its effect on production.
