How do I get started?
Click Get started, then use Proto to configure Barbershop Management for your business. Pilot a representative service day with your chairs, dated rates, client appointments and the people responsible for charges, payments and sanitizing inspection.
What does an appointment contain?
Each appointment links a client and chair with a planned start, end, client count and service rate. Its status follows the visit from Requested through confirmation and service, with Completed and Cancelled retained as distinct outcomes.
How are chair booking conflicts handled?
The confirmation process checks the interval and client count, locks the chair and rechecks overlapping appointments before confirming the request. Property Manager resolves a conflicting time or chair before retrying.
Who can change an appointment?
Property Manager manages appointment records. Front Desk Agent can read the schedule and coordinate the handoff, while managing add-on bookings and service tickets within the configured responsibility.
When does a chair become available again?
Service completion sends the chair to Sanitizing. The assigned sanitizing work is completed and its inspection must pass before release to Available. Operations Reviewer checks that decision before reception relies on the station’s readiness.
Can a visit include lounge or treatment services?
Yes. Record the add-on type, service name, planned start and client count against the selected appointment. Finance Officer prepares the add-on charge separately for Operations Reviewer to review.
Does completing service confirm the payment?
No. Finance Officer checks the separate provider-confirmed receipt. Completion requires reconciliation of approved charges with confirmed payments, or an explicitly acknowledged outstanding account under the shop’s review policy.
How do we choose a service rate?
Review the chair type, rate-plan dates and minimum sessions, then record the service rate on the appointment. A rate plan whose start has passed may also have ended, so inspect both dates before applying it to a new visit.
Why can Shop Overview differ from the appointment schedule?
Shop Overview scopes the intake period by when appointments were created. The schedule follows their planned service dates. A visit booked today for tomorrow belongs to today’s intake and tomorrow’s service schedule.
How should we review a refunded payment?
Keep Refunded separate from confirmed receipts in the appointment reconciliation. Finance Officer checks the provider evidence and the recorded amount before explaining how the refund affects the visit’s payment position.
