Add-on booking to reviewed charge

Reception and Finance Officer work from the same appointment when handling an extra service. The booking describes the planned lounge or treatment visit. The charge records the amount for financial review. Operations Reviewer decides whether the submitted evidence supports posting or a later permitted void.

Step by step

  1. Select the visit Front Desk Agent or Property Manager

Front Desk Agent or Property Manager opens the intended appointment and checks the client. A client with repeated appointments needs the correct visit selected before an add-on is captured.

    • Resolve the intended client appointment
    • Updates Appointments, Clients
  2. Capture the booking Front Desk Agent or Property Manager

Front Desk Agent or Property Manager records Lounge or Treatment, the add-on name, planned start and client count. Submission saves the attributed booking and sends its evidence to the responsible reviewer. The linked appointment detail and add-on page are refreshed after the accepted result.

    • Save the attributed booking and submit evidence
    • Updates Add on bookings, Appointments
  3. Prepare the charge Finance Officer

Finance Officer records the add-on name, charge date and amount against that appointment. Save the financial entry as Draft and check it against the source evidence. The existence of a booking does not itself post a charge.

    • Prepare a draft amount against its source
    • Updates Add on charges, Appointments
  4. Review the charge outcome Operations Reviewer

Operations Reviewer checks the appointment, service and amount before authorizing an eligible move from Draft to Posted. A permitted later void follows the reviewed Posted to Voided path. Keep the original source evidence available for the decision.

    • Authorize eligible posting or voiding
    • Updates Add on charges, Appointments
ApprovalA person approves before the work moves on.
  5. Reconcile with the visit Finance Officer

Finance Officer includes Posted add-on amounts in the final appointment charge total and excludes Voided entries. Reception checks that the accepted booking remains attached to the correct visit after the page refresh.

    • Compare posted charges with confirmed receipts
    • Updates Add on charges, Service charges, Payments

Where it usually breaks

And how to keep it from happening.

  • Reception selects the client's earlier visit instead of the appointment being served.
  • A booking is mistaken for a posted financial entry.
  • A draft charge is included in the final posted total before review.
  • A voided charge remains in the appointment's amount due after the correction.
