Request to confirmed appointment

A requested visit becomes a chair commitment only after the booking checks succeed. Property Manager owns appointment changes, while Front Desk Agent follows the schedule and passes corrections to the person who can make them. Keep the selected client and chair visible throughout that handoff.

Step by step

  1. Identify the client Property Manager

Property Manager selects the existing client or records the new client's contact details. Check similar names before linking the appointment. Reception can review the contact information and flag corrections before the booking is confirmed.

    • Resolve the client for the visit
    • Updates Clients
  2. Record the request Property Manager

Property Manager saves the requested chair, planned start and end, client count and service rate. Requested keeps the visit available for checking without representing it as a confirmed slot. Review the applicable chair type and dated rate plan while preparing the request.

    • Record the intended interval, capacity and rate
    • Updates Appointments, Chairs, Service rates
  3. Confirm the appointment Property Manager

Property Manager submits confirmation using the permitted staff identity. The process validates the interval and capacity, locks the chair and rechecks overlapping appointments before changing Requested to Confirmed. A rejected request needs corrected details before another confirmation attempt.

    • Validate identity and booking conflicts, then confirm
    • Updates Appointments, Chairs, Team members, Users
  4. Prepare for arrival Front Desk Agent

Front Desk Agent reviews the confirmed visit on the schedule. Check chair readiness when the client arrives. The scheduled end of a previous appointment does not establish that its sanitizing inspection has passed.

    • Review the next visit and current station readiness
    • Updates Appointments, Chairs

Where it usually breaks

And how to keep it from happening.

  • Similar client names can send the booking to the wrong person's history; inspect contact details before selecting the link.
  • Simultaneous requests for the same chair need the overlap recheck during confirmation.
  • A service rate plan may have started and already ended; inspect both dates.
  • A confirmed appointment still needs a ready chair before service begins.
