Service to ready chair

The end of a client visit starts the preparation for the next one. Property Manager keeps the appointment state aligned with delivery. Front Desk Agent follows assigned service work, and Operations Reviewer checks the inspection that allows a chair to return to Available.

Step by step

  1. Start the confirmed visit Property Manager

Property Manager checks the intended appointment and chair, then submits service start. The appointment and chair become in service. Keep the recorded service-start evidence available when reviewing an interrupted or repeated request.

    • Move the visit and station into service
    • Updates Appointments, Chairs
  2. Assign supporting work Front Desk Agent or Property Manager

Front Desk Agent or Property Manager records sanitizing, maintenance or client-service tickets against the chair and appointment. Choose the responsible team member and due date. Follow Open, Assigned and in progress until the work is completed.

    • Assign the task and follow its progress
    • Updates Service tickets, Team members
  3. Complete the appointment Property Manager

Property Manager submits completion after the final charges are approved and payments reconciled, or the outstanding account is explicitly acknowledged. The appointment becomes Completed and the chair becomes Sanitizing. Finance Officer continues to own any separate payment-confirmation work.

    • Complete the reconciled visit and begin sanitizing
    • Updates Appointments, Chairs, Service charges, Add on charges, Payments
  4. Inspect the chair Operations Reviewer

Front Desk Agent or Property Manager records completion of the sanitizing task. Operations Reviewer checks the inspection result and authorizes release only after it passes. A completed task without a passing inspection leaves the chair awaiting release.

    • Review the recorded work and authorize release after a passing inspection
    • Updates Service tickets, Chairs
ApprovalA person approves before the work moves on.
  5. Resume chair availability Property Manager

Property Manager reviews the chair's move to Available and the next confirmed appointment. Front Desk Agent can now coordinate the next arrival using both the schedule and the recorded chair readiness.

    • Review readiness for the next confirmed visit
    • Updates Chairs, Appointments

Where it usually breaks

And how to keep it from happening.

  • Starting an unconfirmed visit skips the booking handoff; resolve confirmation first.
  • A ticket linked to another chair or appointment obscures which station needs the work.
  • Completing the visit must not change a Pending payment to Confirmed.
  • A failed inspection must leave the chair unavailable for release.
