How do I get started?

Click Get started, then use Proto to configure Beneficiary Tracking for your business. Begin with a pilot service, its owning organization, an operator and an independent reviewer. Prepare a representative application with evidence and agree what establishes delivery before the first operating cycle.

How is a beneficiary linked to an application?

Each application carries a citizen reference alongside its application number. Agree the source of that reference during setup, then use it consistently when adding requirements or documents to the case.

Who prepares the application?

The Citizen Service Portal Operator registers the request, records requirement checks and attaches evidence. The assigned owner remains visible as the application moves through preparation and review.

Who approves the request?

The Citizen Service Portal Reviewer records an independent decision against the exact application revision. The decision can be Approved, Returned or Rejected, with a reason and evidence reference. The preparer cannot provide their own independent approval.

How are missing documents handled?

Keep the requirement Pending while it needs attention, and record the document’s verification result separately. Assign a follow-up with a responsible person and due date, then record its resolution when the requested work is complete.

What happens after approval?

The operator follows the decision and delivery action. The application moves through Decided toward Delivered, with the operation run and attempts retaining the execution outcome. Confirm the required delivery evidence and retain the completion date and delivery reference.

What if the delivery result is uncertain?

Inspect the original attempt and provider reference before taking further action. Keep the investigation assigned to a named person and reconcile the outcome with the provider when a connection is involved.

Can an executed application be corrected?

Use the correction process to preserve the prior revision, evidence and decisions while a successor goes through independent review. If a delivery is superseded, assign the compensating follow-up and retain its resolution.

Can we connect an existing intake or delivery system?

Yes, as a connection to set up during implementation. Agree field mappings for incoming requests and the receipt evidence for fulfillment results. Rehearse a representative request and an uncertain provider response before routine use.

What can the team review at the end of a cycle?

Review application progress, requirement outcomes, independent decisions and recorded delivery results. Inspect overdue follow-up alongside completed work so staff can identify the cases needing attention next. See reports for the operating questions.
