- Who it's for
- Cold storage operators
Cold storage operators
Cold storage teams need the location's operating conditions and the lot's current state to be clear before stock is committed. The Inventory Clerk can record a cold room as a storage location, maintain its eligibility note and inspect lot receipt and expiry dates. The Inventory Supervisor reviews placement and authorized stock scope using that context.
How Bin / Location Management is set up for you
Location suitability
Write eligibility notes that staff can apply when selecting a room or bin. Agree who confirms the conditions before the proposed work proceeds.
Lot treatment
Available, Quarantined, Expired and Blocked states distinguish stock needing different follow-up. Examine the current state alongside the date information when deciding whether a lot can support a reservation.
Capacity discussion
Use the slotting plan's zone and cubic-foot comparison to review proposed placement. Keep the measurement basis consistent across the people preparing and deciding the plan.
Supporting evidence
Link inspection documents or certificates to the stock request with a clear title. The supervisor and Auditor should be able to find the material relevant to the operation.

Start with a known cold room and an item whose storage requirements the team already understands. Prepare a lot with its received date and applicable expiry information, then test an eligible reservation and a restricted-lot rejection. Agree how staff maintain lot state as conditions change.
Prepare a placement proposal for the same stock and review its capacity assumptions. Post the approved request and inspect the saved quantity effect. Temperature monitoring and specialist quality decisions belong in the systems and procedures responsible for them; agree any document exchange during setup. Rehearse a failed reconciliation so the Inventory Supervisor knows how to investigate the discrepancy without erasing the original movement. Continue through [reserve eligible stock](/bin-location-management/processes/reserve-eligible-stock).
