What you can do

Make the location recognizable

A stock request needs a location the warehouse team can identify on the floor. The Inventory Clerk maintains a location name and code, contact details and an eligibility note under the operating organization. The same location reference connects stock lots, handling units and load stops, helping staff follow the work without translating between informal bin names.

A location can represent a warehouse, bin, yard or cold room. Agree the level of detail before opening stock is entered. If one team records an entire warehouse while another records individual bins, the location balances will answer different questions. A consistent code and naming convention helps the Inventory Supervisor understand the scope of a proposed stock move.

How the work is organized

  • Location identity. The name and code identify where the work belongs. Address and contact details help the team distinguish facilities and find the person responsible when a location needs clarification.
  • Operating eligibility. An active setting and eligibility note give staff context for selecting a storage area. Agree how the note describes the stock or handling conditions that must be reviewed before use.
  • Organization ownership. Each location belongs to an operating organization. Team membership links warehouse staff to that organization and their platform account so assigned work can be reviewed in the correct scope.

What to agree during setup

Choose how a bin code identifies the physical position and who maintains its label. Use the same convention when preparing stock lots and handling units. Agree whether an inactive location remains visible for historical work, and how the team will select a replacement location for new requests.

Review the eligibility notes with the people who know the storage area. A cold room or a restricted area needs language the Inventory Clerk can use when preparing a request. Keep the location’s contact current so the Inventory Supervisor can resolve a practical question before approving stock work. Confirm organization time zones and staff identities before comparing required dates across sites.

Check the handoff on an actual case

For a rehearsal, select a receiving area and a storage bin used for a familiar item. Have the Inventory Clerk find each by its code, inspect the eligibility note and confirm the physical position. Record a lot against the intended storage location and ask another staff member to find the same stock from its saved reference.

Prepare a stock request using the agreed location references. The Inventory Supervisor should be able to explain where the work will occur without relying on the preparer’s memory. Then test access from a team member outside the operating organization. Resolve any ambiguous location code or access result before using the pilot as the basis for more stock work.

What your team sees

  • Active Storage Locations — Location codes, contacts and eligibility notes for choosing the place where work will occur.
  • Active Stock Items — Item identity and base unit for checking the stock assigned to that location.
