Unit issues and donor follow-up

Retain component issue details and carry donor follow-up through to an outcome.

Step by step

  1. Confirm the issue details Licensed Clinician

The Licensed Clinician checks the component, lot number, quantity and unit against the organization's clinical issue instruction. Identify the authorizing professional and the donation to which the issue belongs before entering the event.

    • Updates Donations, Team members
  2. Record the issue Licensed Clinician

The Licensed Clinician saves the component issue with its donation reference and authorizing team member. Review the saved quantity and unit together. A colleague reading the entry should understand the recorded issue without assuming an unrecorded measurement conversion.

    • Retain component, lot, quantity and unit
    • Updates Unit issues
  3. Assign the donor task Clinical Coordinator

The Clinical Coordinator creates follow-up work against the donor, names the responsible team member and sets a due date. Write the task as an action the clinician can carry out. Discuss reassignment when the original owner cannot continue it.

    • Establish the action, owner and due date
    • Updates Donor follow ups, Donors, Team members
  4. Resolve or escalate the work Licensed Clinician and Clinical Coordinator

The Licensed Clinician moves an Open task into progress, then records Completed and the completion date when finished. Use Escalated when further attention is needed, or Cancelled when the task is withdrawn. The coordinator reviews the next action with the owner.

    • Record progress, completion or escalation
    • Updates Donor follow ups

Where it usually breaks

And how to keep it from happening.

  • Quantity without context. Confirm the component and measurement unit before reporting an issued quantity.
  • Task with no useful action. Replace a vague callback instruction with the action the assigned clinician needs to complete.
  • Escalation without an owner. Agree who reviews escalated work and how the receiving colleague accepts responsibility.
