How do I get started?
Click Get started, then use Proto to configure Blood Donation Management for your business. Begin with a donor cohort, a collection session and the people responsible for coordination, clinical entry and review. Rehearse the collection and an unresolved follow-up before widening the scope.
How do we identify a returning donor?
Use the donor code alongside the name, birth date and contact details. The Clinical Coordinator confirms the existing identity and current consent before scheduling another donation. Resolve an ambiguous match before linking the new collection.
How is consent recorded?
The donor has a current consent state of Pending, Active or Withdrawn. Supporting documents carry their purpose, version, signature date and file. Review the current donor state alongside the evidence when preparing the next collection.
Who owns the collection schedule?
The Clinical Coordinator maintains the scheduled donation and its owner. The record also carries the actual start and end of the collection so the team can distinguish the planned visit from the work performed.
How do we follow a blood unit?
Use its record number to find the unit and associated donation. The Licensed Clinician records its component type, collection date and Ordered, Collected, Received, Tested or Rejected state according to the work and clinical decision.
Who decides the collection review outcome?
The Clinical Reviewer examines the evidence and makes the decision. The Licensed Clinician records the named reviewer, reason and decision date, and the Clinical Coordinator records the completed collection outcome after approval.
How do we manage work after the visit?
Create a donor follow-up action with an assignee and due date. Use Open, In progress, Completed, Escalated or Cancelled to describe its position. Record the completion date when the assigned work is finished.
Can we bring in laboratory results?
Plan a laboratory connection during setup when results originate in another system. Map the donation, test type, value, measurement unit, test date and authorizing person. Rehearse a mismatched donation reference before releasing the connection.
How are charges and payments organized?
Service charges belong to donations, while payment receipts belong to donors. The Clinical Coordinator maintains the charge position and views payment records. Agree Admin payment responsibilities and the external financial process during implementation.
What should we check before release?
Rehearse donor identity, consent, professional responsibilities and a full collection review. Include a cancelled visit, a rejected unit and an action that remains unresolved. Each responsible person should be able to explain the next step from the records they use.
