Donor Intake and Collection

Prepare the donor record, schedule the visit and hand the collection to review.

Step by step

  1. Find the donor Clinical Coordinator

The Clinical Coordinator finds the donor by code and identifying details, checks the screening authority and reviews the current consent position. Resolve an uncertain identity before scheduling the collection against that record.

    • Identify the donor and screening authority
    • Updates Donors
  2. Prepare consent evidence Clinical Coordinator or Licensed Clinician

The Clinical Coordinator or Licensed Clinician records the document purpose, version and file, then its signed state and date after the customer's consent procedure. The Clinical Coordinator updates the donor's current consent position. A later withdrawal needs attention even when an earlier signed document remains available.

    • Record signed document evidence
    • Updates Record attachments
  3. Schedule the collection Clinical Coordinator

The Clinical Coordinator selects the donor and owner, records the scheduled date and visit type, and keeps the donation Scheduled until arrival. A visit that will not proceed is recorded as Cancelled.

    • Record Scheduled or Cancelled
    • Updates Donations
  4. Record the collection interval Clinical Coordinator and Licensed Clinician

Following the responsible clinician's assessment, the Clinical Coordinator records Arrived, then In progress, with the actual start and end. The Licensed Clinician records the associated unit as Collected against the donation.

    • Record Arrived and in progress; link the collected unit
    • Updates Donations, Blood units
  5. Prepare the review handoff Clinical Coordinator

The Clinical Coordinator places the donation in Awaiting review when its evidence is ready. The Clinical Reviewer receives the case through the review process.

    • Record awaiting review
    • Updates Donations

Where it usually breaks

And how to keep it from happening.

  • Similar donor names can lead staff to the wrong history. Compare the donor code and identifying details before selecting the record.
  • A planned date can be mistaken for the actual collection interval. Check the recorded start and end during the handoff.
  • An older signature can obscure a later consent withdrawal. Review the donor's current consent position alongside the document.
