How a Cafeteria Management System rollout works
Pilot a meal booking through capacity checks, account review and dining-area inspection before expanding service use.
Agree people and space
The Property Manager confirms diner contacts and dining-area capacity. Admin links staff to authenticated users. Name the Front Desk Agent, Finance Officer and Operations Reviewer for the pilot.
Prepare the service request
Set the date interpretation and meal-rate selection. Create a Requested booking with a realistic diner count and rehearse an overlap and a capacity failure before confirming eligible space.
Follow seating and counter work
Record the group entering service, inspect linked tasks and capture a restaurant counter request. Check the source identity and repeated-command behavior.
Review the account
Prepare meal and counter charges, review eligible posting and reconcile confirmed receipts. Test a pending payment and the explicit outstanding-balance path before completion.
Inspect before reuse
Complete service and move the area into Cleaning. Assign the work, rehearse a failed inspection and authorize release only after the inspection passes.
What the customer provides
Bring a representative group meal, its diner contact and the dining area used for service. Supply the area’s seating capacity and the dated meal-rate terms, including minimum meals. Identify the staff responsible for service work and the person who reviews account and release evidence.
Provide the receipt source used by finance and any accounting destination you want to connect. Agree the operating currency and how the team explains charge amounts. Choose a realistic exception, such as a changed group size or uncertain receipt, for the rehearsal.
Changing it afterwards
Review changes to capacity, rates and permissions with the responsible role before using them in a new service cycle. Retest date boundaries and concurrency when booking rules change. Use the authorized void process for incorrect charges. The Finance Officer checks refunded payments against receipt evidence and retains the original references. Changes to cleaning procedure still need a clear inspection decision before area release.
