Account review and completion

Reconcile posted meal and counter charges against confirmed payments before completing the meal service.

Step by step

  1. Prepare the final account Finance Officer

The Finance Officer gathers meal and counter charges for the selected booking. Inspect the charge statuses and keep Draft or Voided amounts distinct from Posted charges used in the account.

    • Assemble the correct booking's charges by status
    • Updates Meal charges, Counter charges, Meal bookings
  2. Review eligible charges Operations Reviewer

The Operations Reviewer checks the supporting evidence and approves eligible charges. The Finance Officer follows the guarded posting action and keeps the reason for any correction available through the retained source evidence.

    • Authorize charges eligible for posting
    • Updates Meal charges, Counter charges, Meal bookings
ApprovalA person approves before the work moves on.
  3. Reconcile the receipts Finance Officer

The Finance Officer compares the approved account with Confirmed payments. Pending receipts still need their own confirmation, and Refunded payments require separate treatment. Identify any balance that remains before submitting the account for completion.

    • Establish settlement or identify the remaining balance
    • Updates Payments, Meal charges, Counter charges, Meal bookings
  4. Acknowledge an outstanding balance Operations Reviewer

When a balance remains, the Operations Reviewer authorizes an explicit acknowledgment before completion proceeds. A settled account can proceed directly to completion.

    • Authorize acknowledgment when a balance remains
    • Updates Meal bookings, Payments, Meal charges, Counter charges
ApprovalA person approves before the work moves on.
  5. Complete the service Front Desk Agent

The Front Desk Agent submits the final account through the authorized completion action. After its conditions pass, the booking moves from Checked in to Checked out and the dining area moves from Occupied to Cleaning. Completion does not confirm payments.

    • Record checked out service and Cleaning follow-up
    • Updates Meal bookings, Dining areas, Service tasks

Where it usually breaks

And how to keep it from happening.

  • A Pending receipt is counted as settled money. Use actual confirmation evidence before changing the payment state.
  • Counter charges are left out. Check all posted charge sources linked to the meal booking before presenting the final account.
  • An open balance disappears at completion. Require the explicit acknowledgment instead of treating closure as a payment event.
