Turn due dates into controlled work
The calibration queue connects each instrument to an approved method, decision rule and interval. The Calibration Coordinator can see what is approaching its due date, book an internal technician or arrange external service, and retain the basis for the timing decision. Scheduling an appointment does not change the date after which the instrument must be held.
A CalibrationPlan is a versioned obligation. Its method and decision rule identify exact approved revisions, so later procedural changes cannot silently alter the interpretation of work already performed. Plan Approval Inbox gives the Metrology Reviewer the proposed interval, instrument, method and preparation identity needed for an independent decision.

Choose intervals with a recorded reason
An interval should reflect the instrument’s intended use, stability evidence and the customer’s applicable requirements. The workflow has no universal annual interval and no automatic extension simply because previous results passed. The coordinator records the rationale and supplies the evidence the reviewer needs to assess the proposal.
- Retain customer or contractual requirements with the plan.
- Consider environmental and handling conditions in the stated rationale.
- Link performance evidence when proposing a longer or shorter interval.
- Keep the effective date of a change separate from historical due dates.
Interval Approval Inbox supports a prospective change. Approval creates a new plan revision and preserves its predecessor. It cannot make an earlier overdue use disappear from history. A rejected proposal stays attached to its evidence so the next review does not have to reconstruct the discussion from email.
Schedule people and instrument downtime
Calibration Schedule shows the expected start and return dates, assigned person and current job state. My Calibration Work lets a technician find their own assignments. The coordinator can distinguish work scheduled, work physically received, evidence submitted and work reviewed without claiming that every completed appointment resulted in a usable instrument.
Before internal work begins, check the method’s qualification prerequisites and the executor’s recorded competence evidence. External work needs a provider whose reviewed service scope covers the required measurement. A supplier name in a dropdown is not evidence that the laboratory can meet the requested uncertainty or method requirements.
Preserve the plan when events change
Receipt of a damaged instrument, a failed reference check or a provider delay may change the job without changing the underlying obligation. Cancelled work stays in history. A replacement order references the appropriate plan revision and gets its own identifier. The coordinator should explain a cancellation rather than reusing the old order number for a different instrument.
An overdue instrument enters a hold even when a replacement appointment has been booked. Operational teams can arrange another qualified instrument or reschedule work. Any use that nevertheless occurred is recorded with its actual time and assessed separately. Planning remains useful precisely because it shows these unresolved exceptions instead of presenting every reschedule as successful completion.
The next obligation is anchored to the actual calibration date. A delayed certificate review or release cannot extend the interval by moving that anchor. The coordinator prepares the next plan revision, and the Metrology Reviewer approves it before the new due date governs availability.
