Standards and Traceability
Link reference standards, certificate evidence and measurement conditions.
Connect results to the evidence behind them
The traceability workspace links a calibration job to the reference standards actually used for that measurement. A standard’s identifier, certificate document and supporting scope stay together. The aim is to make evidence review and later investigation possible without treating a certificate number, supplier brand or accreditation logo as proof of an individual measurement result.
Reference Standards shows equipment awaiting review, available for use or on hold. The Metrology Reviewer records the supporting reference basis and considers whether its scope fits the required measurement. A current certificate for one range does not automatically justify using the same standard outside that range.
Preserve eligibility at the time of use
OrderStandards captures the actual usage time and a snapshot of the supporting certificate. This matters when a standard is recalibrated later or a provider revises an earlier document. Historical jobs need the evidence they relied upon at that time, including any unresolved limitation; a link that always opens the newest file can conceal what the original decision used.
- Identify the reference standard and the method it supports.
- Retain the certificate version available for the recorded measurement.
- Record range and uncertainty suitability in the scope assessment.
- Distinguish eligible, ineligible and unresolved evidence.
- Keep the independent review identity with the assessment.
A standard that was already due or held when used creates an exception. A standard that becomes due after a valid historical measurement is a different situation. The review should use actual dates and conditions rather than applying today’s status indiscriminately to every earlier calibration.
Respond to a reference concern
If a reference is later found questionable, Reference Standard Usage identifies the dependent jobs. The Quality Manager and Metrology Reviewer can scope which instruments and measurement uses need assessment. The system preserves the original evidence and opens new concerns; it does not rewrite all historical results as failures or assume every downstream product is defective.
The response may include retrieving additional provider information, assessing a specific range or repeating work under an approved method. The decision must explain which population was included and why. If the use history is incomplete, that uncertainty stays visible and is treated through the impact workflow.
Keep responsibility clear
The application stores the evidence trail and the customer’s technical decisions. It does not establish laboratory competence through file storage, certify a chain automatically or guarantee that the resulting uncertainty is suitable for a particular product tolerance. Technical staff remain responsible for the measurement method, supporting uncertainty evaluation and the intended-use decision.
Provider evidence also needs review when a service scope changes, a document is superseded or an instrument is used differently. Keep suspended providers and retired standards visible in historical records. Prevent their selection for new work without deleting the records that explain an earlier calibration. This allows investigation to follow the actual dependency trail instead of a cleaned-up current list.
