How a Campground / RV Park Mgmt rollout works

Set up inventory, reservations and account review in operating order.

  1. Set the operating rules

Define unit types, capacity, status use, rate periods and who can confirm a requested stay. Decide how the team checks overlapping dates and date changes.

  2. Load the booking base

Bring in unit records, guest parties and current reservations with their links and agreed nightly rates. Review a returning guest and a group booking.

  3. Add service work

Connect staff users to People records. Rehearse an amenity booking and an assigned task against an active stay.

  4. Add guest-account review

Decide charge approval and correction rules. Bring in posted charges and confirmed payment evidence with reservation references.

  5. Rehearse departure

Reconcile the account or acknowledge what remains outstanding, then check checkout, pending receipts, the cleaning inspection and the unit's return to available before expanding to the full property.

What the customer provides

Provide the current inventory labels and capacities, dated nightly rates, booking and cancellation routines, staff assignments, existing guest and stay records, and the source of payment confirmations. If outlet bookings or measured utilities come from another system, provide the record owner, reference format and correction procedure. Finance Officer should supply the account review policy; Property Manager should supply the unit readiness rule.

Changing it afterwards

Test new unit types and rate periods against a requested stay before using them for guest quotes. Review access when staff responsibilities change. For financial corrections, retain the original charge or payment status and link the revised evidence to the same reservation. Rehearse a date amendment and a post-checkout refund so the team understands the downstream account and availability effects.
