Guest account review

Review draft charges, posted amounts and confirmed receipts by reservation.

Step by step

  1. Prepare charges Finance Officer

Finance Officer creates a draft folio or outlet charge with the service date, description or charge name, amount and reservation link. Keep a restaurant or spa booking and its charge distinguishable: the booking records the intended service, while the financial record states an amount to review.

    • Record dated amounts as drafts under the stay.
    • Updates Folio charges, Utility charges, Reservations
  2. Review charges Finance Officer

Operations Reviewer examines the linked reservation and supporting service evidence. Finance Officer records a reviewed charge as posted or voids an unsupported entry under the agreed policy. A posted charge should remain traceable to the stay whose account it changes.

    • Review evidence and record posted or voided status.
    • Updates Folio charges, Utility charges, Amenity bookings, Reservations
ApprovalA person approves before the work moves on.
  3. Reconcile payments Finance Officer

Finance Officer compares posted amounts with Payments marked confirmed, using the received date and reference. Pending receipts remain separate. If a payment is refunded, review the resulting balance again instead of continuing to count the original confirmed amount.

    • Compare confirmed receipts with posted charges.
    • Updates Payments, Folio charges, Utility charges, Reservations
