Start with an existing patient, one upcoming visit, and the people who will coordinate and document it. Agree which visit types staff use and when they change Scheduled to Arrived and in progress. Have the clinician record an observation and a note, then let the reviewer read the visit when it is awaiting review. Finish the visit and assign a follow-up task that another person can find in their work list.
Next, rehearse a charge and a patient payment as separate records. The charge links to the encounter; the payment links to the patient and carries its own reference and status. Decide how staff check the payment reference against the clinic's financial system. Use a second visit for the same patient to test that the team chooses the right encounter each time.
