What you can do
Give the verification decision an owner
The Clinical Governance Administrator maintains a privilege for a named clinician. The record states the privilege type, license number, issuing authority, verification evidence and effective dates. Its state distinguishes a pending review from a verified, suspended or expired privilege. A clinician’s general staff title cannot substitute for this decision.
The privilege types cover documenting, prescribing, reviewing and a study-investigator designation. These are labels on clinician privileges. The governance administrator still needs to inspect the underlying evidence and dates before marking a privilege verified. A Clinical Reviewer can inspect the outcome, while the Licensed Clinician sees the current privilege record relevant to their work.
How the work is organized
- Pending evidence. A pending privilege is the queue for a governance check of the license and attachment.
- Effective authority. Verified status and effective dates show the period staff check when planning clinical work.
- Changed standing. Suspended and expired states remain visible for governance review rather than disappearing from the clinician’s history.
What to agree during setup
Agree which governance administrator checks each privilege type and what evidence is sufficient to verify it. Record the issuing authority and license number in a consistent format. Set effective dates from the actual professional authorization, not from the day a clerk enters the record. Decide who checks for upcoming end dates and how a suspended privilege affects scheduled visits.
For a site using this app alongside other systems, the external credential source remains the source of its own professional evidence. The privilege record here carries the local decision and its attachment. The team should reconcile that decision with its credential process before assigning care.
Check the handoff on an actual case
A Licensed Clinician is due to document an encounter next week. The governance administrator opens the pending privilege, checks the license number, issuing authority, attached evidence and effective period, then marks it verified only when the decision is supported. The coordinator schedules the visit with that clinician. The reviewer can later see which standing was recorded for the clinician at the time of the care work.
Rehearse the same case with an expired effective period. The administrator keeps the record at Expired until renewed evidence supports a new verification decision. This keeps the scheduling handoff anchored to a real governance decision rather than a staff title or a stale attachment.
What your team sees
- Privilege Verification Queue — Pending clinician records waiting for an evidence and date decision.
- Current Privileges — Verified and suspended standing with the named clinician and effective period.
