Step by step

1. Capture request Property Manager

   Property Manager records the guest, proposed unit, dates and party size with a requested status. The guest record keeps the available contact information.

   • Create the guest-linked request

2. Check capacity Property Manager

   Property Manager compares the party size with the unit's capacity and checks the requested nights against other confirmed stays for that unit. A departure date is the first night the unit can be used by another stay.

3. Confirm stay Front Desk Agent

   Front Desk Agent submits confirmation only for an eligible request after Property Manager checks capacity and overlapping nights. A repeated confirmation of the same command returns the saved result; a changed request requires review. The unit assignment remains visible on the reservation.

   • Move Requested to Confirmed
   • Updates Food batches

4. Prepare arrival Front Desk Agent

   Front Desk Agent reviews the confirmed arrival, guest identity and unit. Outlet plans stay linked to the reservation rather than being treated as a separate guest.

   • Review arrival and outlet activity
   • Updates Food batches, Kitchen brands

5. Check in Front Desk Agent

   Front Desk Agent records arrival and the unit becomes occupied. The checked-in reservation remains the anchor for service tasks and charges.

   • Move Confirmed to checked in; unit to Occupied
   • Updates Food batches, Recipes

Property Manager

Checks capacity and dates; Front Desk Agent submits confirmation and owns the arrival handoff.
