What you can do
Courses in the working cycle
Before intake, the Education Administrator enters the course name and code, assigns the organization, and records its start and end dates. The active value tells instructors which offering is ready for enrollment. A policy reference can carry the institute’s approved course policy identifier.
Suppose a new course opens next month. The administrator checks its organization, dates and code before marking it active. An Instructor then chooses that same offering on an enrollment. The course remains the common reference when the reviewer and analyst inspect the case.
How the work is organized
- Identify the offering. Education Administrator records the course code, name, organization, dates and active value before intake begins.
- Check the selection. Instructor compares the chosen course with the enrollment and its owning organization.
- Keep policy context. The policy reference identifies the course guidance the administrator used when setting up the offering.
What to agree during setup
The administrator and Instructor agree how course codes are assigned, which organization owns each offering, and who can change a dated offering after enrollments exist. They also decide how the policy reference is maintained.
Before changing a course already linked to enrollments, the administrator checks the existing cases and tells the instructors which offering to use. A new code or date needs to be clear on the course record so the next enrollment points to the intended offering.
Check the handoff on an actual case
Check an actual enrollment against the intended course. Confirm that the course and organization match, that its dates are useful to the team, and that a changed course record does not silently change the reason for an earlier review.
An Instructor opening a new enrollment should find the intended course by its code and dates. If the organization on the course differs from the enrollment organization, resolve that difference before sending the case for review. The Academic Reviewer should see the same offering on the submitted case.
When a course is used by more than one intake owner, both instructors should select the same coded offering rather than create separate names for it. Check an existing enrollment before changing the active value. The course record carries the dates and policy reference; the enrollment carries the person and owner. That division helps the administrator answer which offering was selected and helps the reviewer check the case without relying on a message outside the system. If the wrong course was selected, correct the enrollment and preserve the reason for the change in the case history.
