What you can do
Enrollments in the working cycle
The Instructor opens a named enrollment, assigns its course, organization and owner, and records the intake date. The working record moves through Draft, Submitted, Verified, Decided and Delivered as the team completes the associated checks. The Enrollments page gives the team a status board and a selected-case workspace.
For a learner entering a fall course, the Instructor records the person’s name and the course choice, then gathers the requirement lines and evidence. Once submitted, an Academic Reviewer can inspect the specific revision and decide it. The same case later holds the outcome and delivery reference.
How the work is organized
- Record the intake. Instructor enters the case number, name, enrollment date, course, organization and owner.
- Prepare the case. Requirement lines and supporting documents stay linked to the same enrollment.
- Track its state. The status board and state history show the current position and earlier changes.
What to agree during setup
Agree who owns intake, what number format identifies a case, when an entry is ready for submission, and how a revision is corrected. Keep the course and organization references clear so a reviewer knows which offering and unit the decision concerns.
Decide how the Instructor identifies a case before submission and who checks that its course and organization agree. The reviewer needs an exact revision to decide, so the team should agree when a correction creates a new revision and how the earlier decision remains visible.
Check the handoff on an actual case
Open the case from the owner’s list and follow it through the status board. Confirm that the requirement lines, documents, latest review and follow-up actions refer to the same enrollment. Read the state history if the visible status needs an explanation.
For a learner entering a fall course, compare the named enrollment with its course, owner and supporting lines. Submit the prepared case, then open the selected-case workspace as the Academic Reviewer. The decision should point to the revision inspected, and a returned case should show its reason and assigned follow-up.
A submitted case should give the reviewer enough context to identify the offering and the person involved. Compare the enrollment number, intake date, organization and owner before opening its evidence. When a decision is returned, the Instructor should work from the reason on that decision and keep the linked follow-up under the same enrollment. The current status tells the team where to look next; the decision and state history explain why it reached that position. For a later delivery, check the delivery reference against the decision made for that revision.
