What you can do
Evidence in the working cycle
The Instructor attaches supporting documents to an enrollment. Each document has a title, date, external reference and attachment, while the verification value and verifier show the review state. This gives the Academic Reviewer a way to inspect the material behind the working case.
For a submitted enrollment, an Instructor attaches the received document and records its source reference. The verifier checks the file and marks it verified only after comparing it with the enrollment and its requirement line. The reviewer can then use the document as evidence for a decision.
How the work is organized
- Attach the source. Instructor gives the document a title, date and external reference and links it to the enrollment.
- Name the verifier. The verification value and verified-by person identify who checked the document.
- Use it in review. Academic Reviewer opens the linked evidence when deciding the enrollment revision.
What to agree during setup
Agree what titles make documents recognizable, which external reference identifies an original, and which person verifies each type of evidence. Decide how a replacement attachment is handled so the reviewer sees the material relevant to the revision under review.
Agree which documents support each requirement and who may verify them. A title and external reference should distinguish a replacement from an earlier attachment. The team needs a way to show which document was inspected for the revision under review.
Check the handoff on an actual case
Open the enrollment and inspect each linked document. Confirm the attachment is readable, the source points to the intended enrollment, and the named verifier can explain the check. A pending verification should stay visible to the team.
On a submitted enrollment, open the attachment and confirm its source is the intended case. Ask the named verifier to explain the check. If the file is unclear, leave the verification value unresolved and give the Instructor a specific follow-up before the reviewer decides.
The document record belongs to an enrollment, while its title and external reference help the team identify the original material. Keep the attachment available when an Instructor asks for another check. The named verifier should compare the file with the enrollment before changing the verification value. A reviewer who returns a case should point to the unclear document in the decision reason so the correction can be assigned. After a replacement arrives, inspect the current document and the earlier reason together; the reviewer still needs to decide the appropriate enrollment revision independently.
