What you can do
Follow-up in the working cycle
A follow up action captures a specific outstanding request or correction for an enrollment. It has a title, assignee, due date, status, completion date and resolution. Open and in progress make active work visible; Completed and Cancelled explain how an item left the queue.
When a reviewer returns an enrollment because a document reference is unclear, the Instructor assigns the correction to the responsible person and gives it a due date. That person records the resolution after the evidence is updated. The reviewer can then see what changed before deciding the next revision.
How the work is organized
- Name the work. Instructor writes a specific title and links the action to the enrollment.
- Give it an owner. The assigned person and due date make the next step visible.
- Close with a reason. Completion date and resolution explain what changed before another review.
What to agree during setup
Agree who may assign a follow-up, what a useful title says, and when a due date is required. The team should distinguish a resolved request from a cancelled one and record enough detail for the next reviewer to understand the outcome.
Agree who assigns a correction after a returned decision and what detail the assignee needs. The team should use Completed only when the supporting requirement or document has been addressed; Cancelled needs a clear explanation of why the request no longer applies.
Check the handoff on an actual case
Open the owner’s follow-up list and a returned enrollment. Verify that the action points to the same case, the assignee sees the work, and its resolution matches the revised evidence or requirement line.
A reviewer returns a case because the document reference cannot be checked. The Instructor creates a linked action for the responsible person. After the reference is corrected, the assignee records a resolution. The reviewer opens the earlier decision and the changed evidence together.
An action belongs to a source enrollment and has its own status. Open and in progress show who still has work; Completed records that the assignee finished it, with a resolution the reviewer can read. A cancelled action should remain distinguishable from a completed correction. If several items need attention, give each a title that identifies the needed change and link each to the same case. When the Instructor resubmits, the Academic Reviewer should compare the changed requirement or document with the original return reason rather than rely on the action status alone.
